Description:A large tech client of ours is currently hiring for a contract Onboarding Coordinator role in the Advertising division to assist in onboarding new hires for the Advertising team as well as work closely with multiple directors to assist in calendar management and scheduling. As an onboarding coordinator, the responsibilities include, but are not limited to the following: working closely with the talent acquisition coordinators, People Experience Leads, coordinating schedules for interviews, ordering welcome gifts, swag, etc., delivering a high level of service to candidates, HR Business Partners, hiring managers, setup introductory meetings with new hire peers, partners, etc. In addition, you will provide a high level support to three Senior Directors, GM, NA Ads Search, Head of Ads Strategy, M&A and PMO and Head of Ads, New Ventures and their respective teams that make up the critical components of the Advertising organization within the Core Product (CP) organization. In this role, as a true member of these teams, these Senior Directors will count on your ability to manage their calendars, coordinate domestic and international travel arrangements + related expenses that may include transportation to/from airport, hotel, meetings, etc. Assist in meeting scheduling (heavy Outlook experience required) including searching for large conference rooms (thinking outside the box for space when we return to the office); coordinate off-site development and execution while overall ensuring seamless flow of the Senior Directors day-to-day activities and team interfaces.Responsibilities: Strong Time management, process management and productivity skills. Responsible for anticipating, prioritizing and organizing all activities, Expert calendar management and in blending business and personal needs. Understands overall group priorities, people and aligns schedules and meetings appropriately so time is spent on the most important areas. Organize meetings, travel, events and other off-site conferences Intuitive gatekeeper and management of access to the right people and directing requests to the right area. Self-starter and self-directed: understands the needs of the Senior Directors, and proactively helps out and addresses gaps and opportunities. Ensures they are prepared for upcoming appointments by gathering materials necessary for each meeting. Consistently and proactively suggests and introduces new ways of working to improve effectiveness. Continuous learner. Strong relationship builder. Collaborative and respected at every level. Effectively work with a diverse set of people. Plan and coordinate complex documents and presentations. Extremely strong business writing skills. Highly experienced with Outlook, Zoom, Google Docs, Word, PowerPoint and Excel and in creating executive level communications and presentations. Provide support on special projects. Conduct, compile, and present research for projects. Experienced with highly confidential information (email, compensation, company). Can be accountable with proxy access to key business systems, emails & all levels of confidential details. Articulate and a good communicator. Gather and disseminate key information. Use independent judgment on responses, and know when to ask for more information. Manages strategic calendars to implement operating rhythms for the organization, and proactively provide proper preparation. (e.g., operation reviews, corporate deadlines, quarterly functions). Proactively develops and maintains agendas for key meetings. Structured task tracking and builder of strategic checklists. Strong process person who keeps structure and operating rhythms for effective meetings and time utilization of executives. Job Requirements This position requires the individual to exercise good judgment and prioritize well. This person should have a high degree of flexibility, operate effectively in a fast-paced environment and have the ability to handle multiple projects at the same time. The person in this position will need to build strong relationships with other departments in order to accomplish tasks and achieve goals. This person will likely work on assignments that are sensitive in nature with high-level contacts inside and outside the company, so the ability to keep confidentiality is of critical importance. Candidates for this position should have an excellent customer service orientation, an outgoing personality, and strong verbal and written communication skills. This candidate should also possess four years of experience as a successful administrator in a complex and dynamic technology environment. Candidates should have proven competency using MS Office applications: Word, Excel, PowerPoint & Outlook is a must-have skill.
