This position presents opportunity to grow with the Seattle division targeted to increase productivity by more than 50% over the next 18 months. The Operations (Construction) Coordinator is responsible for supporting Construction, Warranty, and Office Management in various capacities. This role will manage Operations documents, lot files, buyer communication, and warranty request while memorializing within organizational web-based and internal systems in support of all record retention and internal audit requirements. ESSENTIAL DUTIES AND RESPONSIBILITIES: Construction Operations Support Create, distribute, and close out all lot specific job folders. Close out includes but is not limited to electronically storing all buyer communication and QA/QI documents.Create and manage project start up lot folders in SharepointOpen and closeout all buyer meeting and quality documents in HB1 and SharepointAssist in Jobsite start up requirements in support of New Community openingsManage all internal performance tracking documents as requestedSupport internal departments as needed Customer Service Support Monitor Customer Service request phone line and email inbox during normal business hoursProcess initial service requests from homeowners into organizational systemsOpen and closeout all Service requests in HB1 and store within Sharepoint as backupDocuments all post-closing buyer communication in organizational systemsTracks and manages all post-closing buyer touch point documents and informationSupports and updates as needed all Customer Service expectation documentsManage on call schedules and transference of phone systems to after-hours contactCreates and manages for distribution all trend analysis reportsSupports all internal departments as needed Office Administration Receive and process all incoming and outgoing mailTrack and code all utility invoices as requestedProcess all reimbursement requests across the companySupport in liaison between building management and KB Home officeOversee ordering of all office supplies and other necessitiesManage all check deposits and requestsSupport with permit submittal coordination as requestedAll other duties as requested for the construction/operations team EDUCATION/EXPERIENCE/MINIMUM REQUIREMENTS: Education/Certifications/Licenses High school degree or equivalent requiredAssociates degree preferred Experience 2+ years prior administrative office experience required, including strong computer usagePrior homebuilding construction or customer service experience preferred Knowledge, Skills & Abilities Exceptional organizational skill and capabilityStrong communication skills both verbally and in written formCapable of multitasking across multiple departmentsDemonstrates flexibility and patience with team members and customersCapable of holding self and others accountable to organizational timelinesBrings closure to given work in a timely mannerStrong IT skills in support of field personnel and organizational systemsStrong ability to work within a team-setting and inclusive of diverse thinkingProficient in Microsoft applications, including Word, Excel, PowerPoint and Outlook.
