Job Description Function: The Benefits Administrator position assists employees with benefits enrollment and questions, manages all insurance billing, maintains employee database and files in regard to benefits information, and assists with payroll processing. Essential Duties and Responsibilities: --- Provides outstanding internal and external customer service in alignment with company and departmental mission and vision --- Processes benefits enrollments, changes and terminations for all stages of the employee lifecycle --- Administers various employee benefits programs, such as health, HSA, flexible spending accounts, dental and vision, accident and disability, life insurance, 401(k), and wellness benefits --- Is responsible for planning and administering the company---s wellness program and quarterly challenges --- Maintains electronic employee benefits filing system and ensures benefits changes are entered appropriately in payroll system for payroll deduction --- Assists employees with health, dental, life and other related benefit questions --- Supports the annual open enrollment process, including the development of communication materials, tracking and implementing changes, and partnering with benefits broker, carriers and HR team as needed --- Acts as a liaison between the HR and Payroll teams to resolve issues and communicate changes to employee pay resulting from benefit change events such as open enrollment, employee qualifying events and new hire elections --- Verifies the calculation of the monthly premium statements for all group insurance policies and maintain statistical data relative to premiums, claims and costs. Resolves administrative problems with the carrier representatives --- Works with HR Manager to design benefit communication strategy and develop benefits communications and promotional materials --- Plans benefit events including benefit fairs, flu shot clinics, biometric screenings, lunch and learns, webinars and open enrollment sessions --- Documents and maintains administrative procedures for assigned benefits processes --- Provides benefits reporting and analytics when requested --- Administers COBRA and leaves of absence including FMLA --- Reviews and responds to unemployment claims with appropriate documentation. Review monthly unemployment statements --- Coordinates workers' compensation claims and L&I claims. Follow up on claims as needed --- Assists HR manager in obtaining statistics and information in renewal process of any health, life and retirement plans that benefit the company. Conducts annual benefits surveys as needed --- Prepares and sets up meetings designed to help employees obtain information and understand company benefits and other related incentive programs. Ensures distribution of required employee notices. --- Stays current on innovative practices and trends in employee benefits and wellness. --- Has knowledge of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including ERISA, COBRA, FMLA, ADA, Social Security and DOL requirements. --- Conducts Medicare Annual Reporting (CMS and Data Match) --- Conducts Court Orders-Medical processing (QMSCO) --- Responds to various government agencies as needed (Medicaid, District Attorney, Medicare, etc.) --- Tracks and collects benefit premiums due for Leaves and Commission Only associates --- Manages 401k plan-Enrollments and changes --- Plans 401k Quarterly meeting participation/implementation of changes --- Conducts monthly Benefits Enrollment Webinar for new hires, eligibility reports, and statistics --- Conducts ACA 1095-C reporting --- Assists with ACA eligibility benefits offerings --- Prepares quarterly and year end audits of all voluntary benefits --- Sends year-end 401k reporting to Hunnex & Shoemaker (January of following year) --- Processes monthly Benefit Carrier Invoice reconciliation and payments from accounting --- Processes death claims, STD, and LTD claims as needed --- Processes separations (Mail Life packet, COBRA, and process Paycom separation checklist) --- Does COBRA Monthly Monitoring/Administration --- Processes HSA and FSA contribution reports each pay period --- Reviews SPD annually for Open Enrollment changes/updates --- Maintains an eConnections benefits page --- Provides benefits information for EHL Newsletter (every other month) --- Promotes Benefits Programs to increase utilization (Maternity program, Teledoc, and more.) --- Evaluates future benefit offerings that may be available/desirable for EHL associates --- Partners with Payroll and Accounting to streamline processes between departments --- Assists with vendor contracts --- Conducts annual FSA Non-Discrimination Testing --- Other duties as assigned. Performance Expectations: --- Perform all actions in accordance with the Mission, Vision, and Convictions of EHL. --- Provide a ---WOW--- experience and effectively communicate with associates, clients, partners, and vendors via phone, written communication and/or in person. --- Seek Feedback: Host regular and timely communication with associates and Manager. --- Be willing to assume additional responsibilities/duties/projects as they arise. --- Have strong organization skills, the ability to learn quickly, and accuracy/timeliness in completing tasks. --- Perform all actions in accordance with policies and procedures of the company. --- Expected to meet productivity guidelines of the position. --- Effectively use software specific for the position and Microsoft office products. --- Work well with other members of the EHL team and be willing to fill in when needed. Specific Skills/ Knowledge/ Abilities Required for Position: --- High School Diploma or GED, required. --- 5 years of experience in benefit administration, required. --- Experience with HRIS or Payroll systems, required. UKG/Ultimate Software a plus. --- HR Certification, preferred. --- Familiarity with Windows OS, and the MSOffice Suite of tools at an intermediary level: Excel, Word, PowerPoint, Publisher, preferred. --- Exercise good judgment and strong character, motivated, hard working. --- Ability to work well with fellow associates, clients and vendors. --- Good communication skills.
